Who we are
Teloz (“Teloz”, “we”, “us”) is a software engineering company based in Sri Lanka. We are the controller of the personal information described in this policy. You can reach us about privacy at any time at hello@teloz.io.
This policy covers our corporate website and our business enquiries. Our products, such as Dopinder, may have their own privacy notices that apply when you use them. When we build or run software for a client, we usually process personal data on that client's behalf and under our contract with them; in that case the client's privacy notice applies.
Information we collect
Information you give us
- Enquiries. When you email us or use the contact form, we receive your name, email address, company, and whatever you include in your message.
- Business relationships. If you become a client, supplier or partner, we keep contact details, contracts, invoices and project communications.
- Job applications. If you apply to work with us, we receive your CV and any details you choose to share.
Information collected automatically
- Server and security logs. Our hosting provider records technical data such as IP address, browser type, pages requested and timestamps, to keep the site running and secure.
- Analytics. We may use privacy-focused analytics to understand which pages are visited. We do not use advertising or cross-site tracking cookies.
How we use your information
- To reply to enquiries, prepare proposals and deliver services you ask for.
- To manage contracts, invoicing and our business records.
- To keep the website secure, prevent abuse and fix problems.
- To understand how the website is used so we can improve it.
- To meet legal, tax and accounting obligations.
We only send marketing emails if you have asked for them or we already work together, and every message includes a way to opt out.
Legal basis
We process personal information under Sri Lanka's Personal Data Protection Act, No. 9 of 2022, and, where they apply to you, the EU and UK General Data Protection Regulations. Depending on the situation, we rely on:
- Contract: to take steps you request before entering a contract, or to perform one.
- Legitimate interests: to run and secure our business and answer enquiries, where those interests are not overridden by your rights.
- Legal obligation: to keep records required by law.
- Consent: where we ask for it, such as optional marketing. You can withdraw consent at any time.
Sharing your information
We do not sell personal information. We share it only with:
- Service providers who help us run the business, such as website hosting, email, cloud storage and accounting tools, under contracts that require them to protect it.
- Professional advisers such as lawyers and accountants, where needed.
- Authorities, where the law requires it or to protect our rights, users or the public.
- A buyer or successor, if Teloz is involved in a merger or sale, subject to this policy.
International transfers
We are based in Sri Lanka and some of our service providers store data in other countries. When personal information leaves the country where it was collected, we use providers with appropriate safeguards, such as standard contractual clauses, and take steps to make sure it stays protected.
How long we keep it
We keep enquiry correspondence for up to two years after our last contact, client and financial records for as long as the law requires (usually up to seven years), and server logs for a short period, normally no more than 90 days. We then delete or anonymise the information.
Security
We use encryption in transit, access controls, multi-factor authentication and reputable cloud providers to protect personal information. No system is completely secure, so if you believe your information has been put at risk, contact us straight away.
Your rights
Depending on where you live, you can ask us to:
- give you a copy of the personal information we hold about you;
- correct information that is wrong or incomplete;
- delete your information, or restrict how we use it;
- object to processing based on legitimate interests, including direct marketing;
- move your information to another provider, where technically possible.
Email hello@teloz.ioto make a request. We will reply within 30 days and may need to confirm your identity. You also have the right to complain to your local data protection authority, such as the Data Protection Authority of Sri Lanka, the UK Information Commissioner's Office, or the supervisory authority in your EU country.
Children
Our website and services are for businesses and are not directed at children. We do not knowingly collect personal information from anyone under 16.
Links to other sites
Our website links to other sites, including our product sites. We are not responsible for the privacy practices of sites we do not control.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. For significant changes we will give more prominent notice. See also our terms of use.
